Email Settings at a Glance

Any email client (including Microsoft Outlook) can be configured with the following settings:
  • Email Server Type:  POP3 or IMAP4 (use POP3 if you are not sure which to choose)
  • Incoming Mail Server:  mail.yourdomain.com (use your domain in place of "yourdomain.com")
  • Outgoing Mail Server:  mail.yourdomain.com (use your domain in place of "yourdomain.com")
  • User Name:  Your full email address (e.g. "yourname@yourdomain.com", not "yourname")
  • Password:  Password provided by your system administrator
  • Secure Password Authentication (SPA):  Disabled
  • SMTP Authentication:  Enabled
  • SMTP Credentials:  Same User Name (email address) and Password as before
  • Incoming Port:  For POP3 use 110;  For IMAP4 use 143
  • Outgoing (SMTP) Port:  Use 25;  If your Internet provider blocks port 25, use port 587
  • Incoming/Outgoing SSL:  Disabled
Steps For Outlook Setup

From the main menu in Outlook, click the Tools menu and select Account Settings.



From the E-mail Accounts dialog, select New.



From the Choose E-mail Service dialog, select Microsoft Exchange, POP3, IMAP or HTTP.  Click Next.



Click the Manually configure server settings or additional server types checkbox.  Click Next.



Select Internet E-mail and click Next.



Under the Internet E-mail Settings dialog:
  • Enter Your Name
  • Ener your E-mail Address
  • Select your Account Type (POP3 or IMAP4; use POP3 if you are unsure which to use)
  • Enter mail.yourdomain.com (replace with your real domain name) for Incoming and Outgoing mail server
  • Enter your full email address in the User Name field
  • Provide your Password if you wish for Outlook to save your password
  • Make sure that Secure Password Authentication (SPA) is unchecked
  • Click More Settings to open another dialog box (do not click Next yet)



Click the Outgoing Server tab.  Check the box for My outgoing server (SMTP) requires authentication.  Select Use same settings as my incoming mail server.  [Do not click OK or Cancel yet]



Click the Advanced settings tab.  On this screen:
  • Incoming server (POP3) should be set to 110 [or if using IMAP4 the port should be 143]
  • This server requires an encrypted connection (SSL) should be unchecked
  • Outgoing server (SMTP) should be set to 25; if your Internet provider blocks port 25, you may use port 587 instead
  • Use the following type of encrypted connection should be set to None
  • Click OK to close this dialog


Click Next.  Your account setup is done.  Click Finish and the setup wizard will close.
